We collect and use client and suppliers personal data because it is necessary for the pursuit of our legitimate interests our contractual relationships with our business partners or for pre-contractual measures on the basis of GDPR and with the purposes of complying with our duties and exercising our rights under a contract to a customer or supplier, complying with our legal obligations and obtaining consent from an individual for their information to be processed for marketing communication purposes.

How long do we keep your personal data

  1. Client Invoices retained for 7 years for fulfilling our legal obligation to HMRC for accounting records

  2. Supplier Invoices retained for 7 years for fulfilling our legal obligation to HMRC for accounting records

  3. Clients and suppliers contact details retained for an unlimited time for fulfilling our contract with you and offering you relevant opportunities to engage us to work with you

  4. Contractual information retained for an unlimited time for creating quotes, establishing working practices for current contracts and taking steps to enter into contracts with you

  5. Client bank details are deleted after use only required on occasion that a refund

  6. Supplier bank details are retained for remuneration of current and future contracts

Who do we receive information from

We may receive personal information from third party organisations in order to pursue and maintain our legitimate business interests. When personal data is received from an external source we check and verify that this data has been collected lawfully before continuing and that appropriate consent has been obtained for the pre-defined purposes below:

  1. Third party portals for use for our business development purposes such as tender information etc. We use these services to respond to and register opportunities to tender for contract.

  2. External parties we may use are assessed before we process any security and personal data

Who do we share your information with

  1. Suppliers for the performance of any contract we have entered into with yourself

  2. IT service companies who support our website and business systems

  3. Your information shared internally to members of our team, this information is necessary for the performance of their job role
